How Motion Systems handles personal data - clearly and lawfully.

The use of the www.motionsystems.eu Website by the User means that the User accepts that the Administrator collects and uses personal data in accordance with this Privacy Policy. The Website User's personal data are processed by the Administrator based on their consent, and in some cases described in this document, within the legitimate interest of the Administrator.

Users may withdraw their consent at any time. Withdrawing consent does not affect the lawfulness of processing based on consent before its withdrawal. If this Privacy Policy changes and a User continues to use the Website, this is deemed acceptance of the current Privacy Policy.

Method of obtaining personal data: The Administrator obtains personal data directly from the User via the Website, by completing the contact form available on the Website by the User, using the e-mail address provided on the Website. Providing personal data contained in the contact form is voluntary.

Types of personal data processed: The Administrator collects the following personal data about the User via the Website: name and surname, e-mail address, telephone number, message content, company name, company address.

The method of processing User's data by the Administrator depends on the way the User uses the Website and the functionalities available in it.

• The Administrator uses the User's personal data to communicate with them in a personalized manner - products or services offered, personal data security, network updates, reminders, and suggested offers. Communication also applies to user service, solving technical problems, and answering complaints.
• Presenting electronic offers to the User.
• Marketing communication conducted by the Administrator as part of its business, in particular presenting commercial offers to the User electronically or via phone.
• Concluding and implementing a possible agreement between the User and the Administrator (Art. 6(1)(b) GDPR).
• Conducting financial settlements and compliance with legal obligations towards tax authorities (Art. 6(1)(f) and (c) GDPR).
• Implementing the Administrator's marketing activities as part of the Administrator's legitimate interest (Art. 6(1)(f) GDPR). Consent given in the field of marketing communication may be withdrawn at any time.
• Implementing Administrator's legal obligations towards the User specified in GDPR (Art. 6(1)(c) GDPR).

The Administrator does not sell the User's personal data and does not disclose it to third parties for their own purposes.

To run the Website and deliver its services, the Administrator entrusts personal data to processors acting on its behalf under data-processing agreements - in particular the analytics, advertising and embedded-content providers described in the sections below (e.g. Google, Microsoft, Meta, LinkedIn, Dealfront).

Some of these processors may process data outside the European Economic Area (for example in the United States). In such cases the transfer is based on the European Commission's Standard Contractual Clauses or another safeguard permitted under the GDPR.

The User, at each stage of the processing of their data, is provided with a number of rights allowing them to access their data, verify the correctness of data processing, their correction, as well as the right to object to their processing, request the deletion of data, restriction of processing or transfer of data.

Right to lodge a complaint: The User whose personal data is processed by the Administrator has the right to lodge a complaint to the supervisory authority competent in matters of personal data protection (President of the Office for Personal Data Protection).

The Administrator informs that while using the Website, short text information called "cookies" is saved on the User's end device. "Cookie" files contain IT data such as: IP address regarding the User, name of the website from which they originate, storage time on the User's end device, saving parameters and statistics as well as a unique number.

• Maintaining technical correctness and continuity of sessions between the Website server and the User's end device.
• Optimizing the User's use of the Website and adjusting the way they are displayed on the User's end device.
• Ensuring the safety of using the Website.
• Collecting statistics of visits to Website pages supporting the improvement of their structure and content.

The Website uses two types of "cookies": "session" (deleted automatically after leaving the Website or closing the browser) and "permanent" (stored for the time specified in their parameters or until deleted by the User). Persistent cookies are installed only with the User's consent.

Web browsers accept by default the installation of "cookies" on the User's end device. Each Website User may at any time change the settings in the web browser to block or manage cookies. Restricting the use of "cookies" may adversely affect the correctness and continuity of providing Services on the Website.

Cookies set directly by the Website are accessible only to the Administrator. The third-party cookies described in the sections below (for example Google, Microsoft, Meta and LinkedIn) are also accessed by those providers under their own privacy terms. If a User does not agree to saving and receiving information in "cookies", they can change the rules using the settings of their web browser.

When a User grants analytics consent in the cookie banner, the Website loads Google Analytics 4, provided by Google LLC (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA). These services help the Administrator to analyze traffic on the Website.

Google Analytics 4 processes usage data - including a pseudonymous client identifier stored in the _ga cookie described in the cookie policy - to produce aggregated statistics on how the Website is used. IP addresses are truncated, and the Administrator does not sell this data. The reports available to the Administrator are aggregated and are not used to identify individual Users.

When a User grants analytics consent in the cookie banner, the Website loads Microsoft Clarity, provided by Microsoft Corporation (One Microsoft Way, Redmond, WA 98052, USA). Clarity helps the Administrator understand how the Website is actually used - which elements are clicked, how far pages are scrolled, and where Users encounter difficulties - so that the structure and content can be improved.

For this purpose Clarity records on-page behavior and produces aggregated heatmaps and session recordings of interactions such as clicks, scrolling and mouse movement. Recordings are masked: text typed into form fields and other content marked as sensitive is not captured. Clarity stores pseudonymous identifiers in the _clck and _clsk cookies described in the cookie policy.

When a User grants marketing consent in the cookie banner, the Website may load Dealfront (Liidio Oy as part of ECHOBOT Group GmbH) to analyze visitor behavior. The IP address of a visitor would then be processed to help the Administrator understand which businesses (B2B) are visiting the Website, by enriching IPs with associated information such as the company name or industry code.

If enabled, first-party cookies would be used to analyze visitor behavior on the basis of the User's prior consent (Art. 6(1)(a) GDPR). The User can withdraw that consent at any time via the cookie banner controls, or install ad-blockers or no-script plugins in their browser.

The Administrator uses Google Ads services provided by Google LLC. These services help the Administrator to present products and services within the Google search engine and on sites that are part of the Google advertising network. Within Google Ads, the effectiveness of advertisements published on Google websites is analyzed, which allows for better matching of products or services to Users' expectations. The information is only statistical and obtained to identify the ad banner.

When a User grants marketing consent in the cookie banner, the Website may load visitor action pixels from Facebook, Meta Platforms, Inc., 1 Hacker Way, Menlo Park, CA 94025, USA, to measure conversions. If enabled, these pixels track the behavior of site visitors after they click on a Facebook ad to reach the Website. The data collected is anonymous to the Administrator, which cannot use it to draw any conclusions about Users' identities. However, the data would then be stored and processed by Meta, which may make a connection to the User's Facebook profile.

When a User grants marketing consent in the cookie banner, the Website may load the LinkedIn Insight Tag, provided by LinkedIn Ireland Unlimited Company (Wilton Place, Dublin 2, Ireland), the entity responsible for users in the European Economic Area. The tag measures the effectiveness of the Administrator's advertising campaigns on LinkedIn and allows relevant motion-platform content to be addressed to professional audiences (remarketing).

If enabled, LinkedIn stores browser identifiers in the li_sugr, bcookie, lidc and UserMatchHistory cookies described in the cookie policy. Campaign reporting is provided to the Administrator in aggregate form and cannot be used to identify individual Users; LinkedIn may, however, associate the data with the User's LinkedIn profile under its own privacy terms.

If a User would like to receive the newsletter, the Administrator requires a valid email address as well as information that allows the Administrator to verify that the User is the owner of the specified email address and agrees to receive this newsletter. No additional data is collected or is only collected on a voluntary basis. The Administrator only uses this data to send the requested information and does not pass it on to third parties.

The User can revoke consent to the storage of their data and email address as well as their use for sending the newsletter at any time, e.g. through the "unsubscribe" link in the newsletter. The data processed before the Administrator receives the request may still be legally processed.

The website may contain features that allow content to be shared using third party social networking applications. Any personal data provided by users through such social media applications may be collected and used by other users, and their interactions are subject to the privacy policy of the companies that are the application providers.

We use third party social plugins to allow users to share content from our websites on social media platforms or via email. The use of widgets and social plugins may result in saving cookies on users' devices.

This site uses an OpenStreetMap-based map with tiles served by CARTO to show the company headquarters on the contact page. Loading the map tiles requires transmitting the visitor's IP address to the tile provider's servers, which may be located outside the user's country. Protection of personal data security: The administrator introduces appropriate measures to ensure the security of the User's personal data. Personal data obtained by the Administrator are stored in computer systems to which access is strictly limited.

Storage of personal data: The administrator stores personal data for such a period as is necessary to achieve specific purposes. After the processing period has expired, the data may be processed only for the purpose of pursuing claims until the final settlement of these claims by law.

Changes to the privacy policy: This Privacy Policy may change in order to update the information and ensure compliance with applicable law. The Administrator recommends Users to regularly read the provisions of the Privacy Policy.
